Definitions:
“The company” may be referred as Extreme Production Group/Extreme Sounds/Extreme/we/us in this document.

“Hire” This expression refers to the arrangement to use equipment supplied by the company at an event. The period of Hire under these terms is usually one or more days and rates applied may be quoted as ‘the Dry Hire Rate’ or ‘the Daily Rate’, or ‘the Weekly Rate’.
“Hirer” The person, company, department, client, or other body who has ordered and/or accepted goods or services from Extreme Production Group
“The Equipment” All items of equipment and or services accepted by the hirer along with any other items and or services included or implied whether specified or not.

By accepting the hire quote you automatically agree to the following terms & conditions.

 

Event bookings:
Quote is based on event finish time being no later than midnight, if this is not the case & we have not been previously made aware of this, we reserve the right to add an extra charge for this.

We accept no liability for any suggested suppliers for venues, or suppliers that work with venues if quotes are incorrect, missing or inaccurate. We cannot be responsible for inaccuracies or any missing items.

We will do our best to avoid, but are not liable for any damage to gardens/personal property when installing marquees, productions or any technical setups in gardens, private residences, including anywhere with restricted access/walkways. This includes any stakes put into the ground for marquee ballast. We cannot be held responsible for any damage to underground services, garden or any of your property.
We will not be responsible for removal of rubbish other than our own produced materials, unless specifically discussed and charged accordingly for.
All kit from a dry hire must be returned no later than arranged without authorisation from Extreme management, as it may be booked out for the next day. You will be liable for a charge if any kit is returned late and it has not been agreed.
All kit must be returned in a working manner & in the same condition you received it. In the event of any damage/breakages you agree to pay the full replacement retail cost of the item.

The cost of replacing or repairing the Equipment will be borne in full by the Hirer. Equipment lost, damaged or modified will be charged for at full hire rate until the loss is settled in full.
Examples of loss/damage /modification include (but are not limited to) the following:
• Damage by persons known or unknown, including audiences and artists (whether or not as part of the performance)
• Damage or loss caused by inadequate handling by third parties (including local crew)

• Damage by adverse weather conditions including water damage
• Loss due to theft on site or in transit
• Loss or damage during transportation
• Modifying cables by cutting and/or re-wiring plugs/sockets

Equipment hire:

The hire period is based on the dates & times on your quote, and equipment must be back by 17.00 on the day the hire ends, otherwise you will incur a charge of additional days at the full daily hire rate. You will also be liable for any consequential loss by breaching these conditions if the equipment is not available for other bookings the next day.

Cables must be returned in the condition they were sent out, coiled & taped otherwise a charge of £2 per cable will be incurred.

At all times during the hire, the equipment is the customer’s responsibility and hired in kit insurance must be in place and proof provided to us.

All kit is supplied in a tested and working condition, any faults or breakages must be reported immediately to Extreme, and the kit must not have any repair attempted without authorisation from us.

 

If weather conditions do not comply with structural calcs/safety advice provided from the manufacturer, we have the right to stop production/close the event to avoid the risk of injury/death
In this case we don’t provide refunds due to bad weather/other forces outside our control.

 

Branding/install

While we will always aim to use the best fixing method for branding install, to leave minimal marks or damage, it is not always posible to achieve this based on restrictions of venue, material availability or otherwise.
If we are instructed to install onto a surface, the risk of damage to the surface during install or upon removal is the responsibility of the client / venue. We cannot be held responsible for any surface damage, whether this is due to poor surface finishes such as flaky paint, textures or any other reasons. 

 

Cancellation charges:

We reserve the right to charge a cancellation fee, dependent on how close to the event build/start date (whichever is the earlier) you cancel.

29 days or more – 20% of the total charge
22-28 days – 50% of the total charge
8-21 days – 80% of the total charge
7 days or less – full cost of the hire

We reserve the right to see postponement as a cancellation however we can discuss this on a case by case basis

 

Outdoor structure builds:

Responsibilty of the structure will be handed over to the customer upon completion and checks from our team.

The customer is responsible for any damage, or loss to the equipment for the duration of the hire.

The customer must provide a clear site with good access for the vehicles required, if this cannot be met we must be made aware before quoting the event. The customer must make sure the area is clear of the public and other contractors where possible. We cannot accept any liability for damage to the ground or access areas – particularly in gardens, private residences or anywhere with restricted access walkways. This includes stakes put into the ground for marquee ballast. We would always reccomend trackmat on sites where available, and any costs incurred by Extreme due to poor access conditions will be passed onto the customer.

Ballast requirements as quoted must be available, whether this is a high pressure water supply & hose, or access equipment for surface ballast, or the ability to use ground anchors. 

Mains power must be available and as quoted if required, this may be essential to the structure build so the customer may incur more charges if this is not available for the duration, including build & break.

 

Delivery & collection:

Any times quoted or spoken about are approximate, and this is subject to traffic and availability.

Standard hire charges don’t include delivery, and must be collected from our Hemel Hempstead warehouse, unless otherwise discussed. The customer is responsible for loading, transporting & unloading all equipment.

Extreme reserve the right to re charge any additional costs of delivery/collection, including dismantling equipment that has not been packed away properly, parking fines, waiting & toll charges.

 

Termination of hires & production:

Extreme shall be entitled to terminate the contract with immediate effect & repossess any equipment if: the customer is in breach of any of these terms. The customer authorises us to enter upon any property upon which Extreme believes any of our equiment to be, and recover  and remove the equipment if necessary.

 

Force Majeure:

Although Extreme will make every effort to make sure your event goes ahead and we provide the equipment as agreed, we do not accept responsibility for any failure or delay caused by circumstances beyond it’s control.
